The Challenge
The ADI-R is a gold-standard clinical instrument used worldwide to diagnose autism spectrum disorder. It comprises 93 structured questions spanning seven domains, each producing coded scores that feed into four diagnostic algorithm domains with clinical cut-off thresholds.
Before our intervention, the psychologist conducted the interview using a paper protocol, hand-writing parent responses and clinical ratings across dozens of pages. After the interview, they manually tallied scores across four algorithm domains, applying different scoring rules depending on the child's age and language level.
The scored results were then manually typed into a report template, along with the full interview transcript, parent responses, and clinical notes. The completed report was saved to Google Drive and filed in the correct patient folder.
This manual workflow introduced transcription errors in scoring, inconsistent report formatting, significant administrative time per assessment, and delays in getting reports to families. For a busy practice handling multiple assessments per week, the cumulative overhead was substantial.
The Solution
A three-layer automation system spanning data capture, real-time processing, and document generation.
93-Question Digital Form
A 14-step wizard replicating the full clinical protocol with structured prompts, dual-rating columns, dynamic tables, and real-time validation.
Age-Aware Scoring
The scoring engine applies different pathways based on the child's age and language level - verbal vs. non-verbal routes with distinct thresholds.
Instant Report Generation
The moment a clinician submits the form, a complete diagnostic report is generated in Google Docs and filed in the correct patient folder.
7-Node n8n Pipeline
Webhook trigger, event validation, HubSpot data fetch, Drive search, file copy, scoring engine execution, and Google Docs API population.
100+ CRM Properties
Every form field maps to a HubSpot contact property - 93 clinical ratings, parent responses, and administrative fields all captured in the CRM.
Full Interview Transcript
Every parent response, clinical rating, and administrative note is assembled into a structured 17-section transcript within the generated report.
